Journey planning
What information is needed for a private-transfer quote?
A private-transfer quote is only as accurate as the details you share. The more complete your request, the more relevant SafarWay’s reply can be.
Estimated reading time: 5 min (estimate)
A quote request is not a booking confirmation
Sending a quote request is not a confirmed booking. SafarWay reviews the details, checks availability and shares a fare. The service is arranged and confirmed only after both sides agree explicitly.
Do not plan your arrival on the strength of a request alone without a reply. An accepted quote is required before the journey is organised.
Departure and destination
Give departure and destination as precisely as possible: full address, hotel or riad name, airport terminal or station. A city name alone is not enough if your stay is outside the centre or inside a medina.
If a place is hard for vehicles to reach, name the nearest accessible meeting point.
Date and preferred time
State the exact travel date and your preferred departure time from the origin, or the time you need to arrive. These details help position the vehicle correctly.
If dates are still flexible, say so clearly. SafarWay can indicate whether a window is possible, while confirmation remains required before organisation.
Passenger number
Give the total number of passengers, including adults and children. Anyone who occupies a seat — including a child who needs a child seat — must be counted.
If anyone in the group has reduced mobility or specific access needs, mention that in the request.
Pick-up address
The pick-up address should be as precise as the destination. Hotel, riad, private address or terminal: give the full name and, if possible, a landmark.
For medina stays, name the gate, main street or point agreed with your accommodation.
Airport and flight information
If the journey is linked to a flight, include the airport name, IATA code if known, flight number and scheduled landing or check-in time. These details support arrival or departure planning.
Also state whether it is an arrival or a departure. For more on preparing an airport transfer, see the dedicated article.
One-way or return journey
Say clearly whether you need a one-way transfer or a return. For a return, give the return date and time, and the addresses if they differ from the outbound trip.
A return is not automatically booked when you request an outbound journey. Each direction must be requested and confirmed explicitly.
Full-day or multi-day request
If you need a driver for a full day or for several consecutive days, say so in the initial request. These services are not priced like a single point-to-point transfer.
For a multi-day itinerary, list the main stages and dates. A dedicated article explains what to prepare for that type of journey.
Planned stops
If the journey includes one or more stops — a site visit, collecting luggage, dropping a passenger — list each stop with an address or place name. Stops affect journey length and may affect the fare.
Include every planned stop in the initial request rather than adding them later.
Luggage
State the total number of bags, distinguishing checked and cabin luggage when possible. Flag bulky items and approximate dimensions.
Luggage volume directly affects vehicle choice. Inaccurate details can lead to a boot that is too small for the group.
Child seats
If you travel with children or infants, state how many child seats you need and the approximate age or weight of each child.
Child seats cannot be arranged at the last minute. Include the request in your initial enquiry.
Surfboards and bulky items
Surfboards and other bulky items must be declared in the request, with dimensions if known. SafarWay will confirm whether carriage is possible with the vehicle under consideration.
Bicycle transportation is not offered as an available service.
Group transport
For a group, give the exact headcount and overall luggage volume. SafarWay can arrange travel for groups of up to 18 passengers, with one or more vehicles depending on the real composition.
Where possible, name a single coordinator as the contact. That simplifies exchanges and confirmation.
Additional information
Add anything useful: accessibility needs, preferred communication language, strict timing constraints, or specific instructions from your accommodation.
These notes do not replace the essential fields, but they help SafarWay prepare a more suitable reply.
WhatsApp versus email
WhatsApp opens an external service; delivery depends on that app being available. It is often the most direct channel for a quick exchange about a request.
Automatic email sending from the website form is not configured yet. If you choose that option, a message explains that the request was not transmitted automatically. You can then write directly to safarwaytours@gmail.com or use WhatsApp.
Telephone and the displayed email address remain alternative contact channels.
How SafarWay returns the proposal
After reviewing your request, SafarWay sends a proposal with the fare and main conditions via WhatsApp or email, depending on the channel used. No service is organised without your explicit agreement.
Check that the route, date, passenger count and any stops match your request before confirming. Applicable conditions are set out in the booking terms.
Final checklist
Before you send your request, check that you have gathered:
- Precise departure and destination
- Date and preferred time
- Passenger number
- Pick-up address
- Airport and flight details, if applicable
- One-way, return, full-day or multi-day
- Planned stops
- Luggage and bulky items
- Child seats, if needed
- Valid contact details
Send your quote request
Gather these details and share them with SafarWay. The more complete the request, the faster and more accurate the reply. No service is confirmed without prior agreement.
